Sworn end-of-employment declaration: in what cases, and how does it work?

An official record of employment is not always available — a closed employer, a lost file, a dissolved business. In these cases, a declaration under oath confirming the date and circumstances of the end of employment may be required by certain organizations (employment insurance, immigration, a lender).

This declaration remains a last-resort document: most organizations prefer an official record of employment when available.

In what situations is it requested?

  • a benefits application where the official record of employment cannot be found;
  • an immigration process requiring confirmation of a completed employment period;
  • a credit or loan application requiring proof of recent employment status;
  • a closed, dissolved, or unreachable employer.

What should the declaration contain?

  • the declarant's identity;
  • the employer's name and the position held;
  • the start and end dates of employment, and the reason for the end of employment if known;
  • a statement of truthfulness.

Does it need to be sworn?

This depends on the receiving organization. Always check its exact requirements before having your declaration sworn.
